Privacy Policy

Last updated:

This privacy policy explains how Fantastical Quests collects, uses and protects your personal information when you visit this site. We are committed to safeguarding your privacy and handling your data transparently under UK data protection law.

The short version

Fantastical Quests is an information portal about live action roleplay. We collect limited data to run the site and understand how people use it. Most of what we gather comes from your browser automatically — pages you visit, time spent, rough location inferred from your IP address. If you contact us by email, we hold your message and address for as long as needed to respond and keep a record of the conversation.

We do not sell your data. We do not share it for marketing. We pass it only to the services that help us run the site — hosting, analytics, email — and only what each service needs to do its job.

Data you hand over versus data we observe

Information you give us directly arrives when you send an email to our contact address. That includes your email address, your name if you provide it, and whatever you write in the message. We use it to reply and to improve the site based on your feedback.

Information we collect automatically comes from your device and browser as you navigate the portal. This covers your IP address, browser type and version, operating system, the pages you view, how long you stay, and the site you came from. We use this to monitor site performance, fix problems and understand which sections of the portal are most useful.

Processors and transfers

We work with third-party services to keep the site running. Your data may be processed by our hosting provider, analytics platform and email service. Each of these processors handles data under contract and in line with UK GDPR. Where a processor is based outside the UK, we ensure adequate safeguards are in place — typically standard contractual clauses approved by the Information Commissioner's Office.

No processor receives more data than it needs. Our analytics service, for example, sees aggregated usage patterns but not your email address. Our email provider handles contact messages but has no access to your browsing activity on the site.

Lawful basis

We process your personal data under legitimate interests — specifically, operating an information site and responding to enquiries. When you contact us, we rely on your consent implicit in sending the message. For cookies and analytics, we give you clear options to decline tracking without affecting your access to content.

You can object to processing based on legitimate interests at any time. Contact us at the email address below and we will stop using your data unless we have compelling grounds to continue — for instance, a legal obligation to retain correspondence.

Exercising your rights

Under the UK General Data Protection Regulation and the Data Protection Act 2018, you have the right to request access to the personal data we hold about you, to correct inaccuracies, to ask us to delete it, to restrict how we use it, and to receive a copy in a portable format. You also have the right to object to processing and to withdraw consent where that is the basis we rely on.

To exercise any of these rights, email [email protected] with details of your request. We will respond within one month. If you are not satisfied with how we handle your data, you can lodge a complaint with the Information Commissioner's Office at ico.org.uk.

Retention

We keep your data only as long as we need it. Contact messages and replies are held for two years, then deleted. Analytics data is retained in aggregated form — no individual identifiers — for as long as it remains useful for understanding site performance, typically three years. Server logs that record IP addresses and page requests are kept for 90 days, then purged.

If you ask us to delete your data, we will do so within 30 days unless we have a legal reason to keep it longer — for example, to defend a claim or comply with a statutory retention requirement.

Minors

This site is intended for a general audience interested in live action roleplay. We do not knowingly collect personal data from anyone under 13, and we do not target content at children. If you believe we have collected information from a child without appropriate consent, contact us and we will delete it promptly.

Parents and guardians can find advice on supervising children's internet use through organisations such as Internet Matters and the UK Safer Internet Centre.

Changes to this policy

We may update this privacy policy from time to time to reflect changes in how we operate or in data protection law. When we make significant changes, we will note the revision date at the top of this page. Continued use of the site after an update means you accept the revised terms.

For questions about this policy or how we handle your data, email [email protected].

This is an information site. We do not sell any goods or services.
